All monetary grants and in-kind distributions are made to individuals who indicate financial need primarily in compliance with attestations of income levels below those required by federal and state food bank programs. Clients must also provide evidence of residence for ongoing help as per our by-laws we primarily serve those in our parish area. Monetary grants crisis financial assistance are typically provided only to avoid utility shut-off rent eviction and similar situations. Any such cash payments are made directly to the utility provider landlord or transport or medical provider after verification of need with that provider. We do not give cash or checks to clients thereby safeguarding that funds are used as intended. Records of our financial and food assistance are maintained in an on-line system developed for those purposes. These records are updated at each visit by or to a client. Our practices track and significantly limit the amount of assistance any one client can receive as well as limiting the times they can re-apply for further assistance. Therefore no individual client received aid in excess of $2500 total within the year. The members nominate and elect by vote the president who then can appoint or re-appoint the other officers. None of the officers may be family members of the president. Part VI, Line 7b The officers carry out most of the ongoing governance especially between meetings. The members can and do however make and approve resolutions at the regular meetings which become part of the governing actions of our organization. All such actions whether by officers or members are noted in the published meeting minutes. Part VI, Line 11b The Treasurer prepares the 990 using software from Tax990. When complete the Treasurer uses the software reviewer approval process to send each officer a link to the 990. Each officer logs into the software to complete their review add comments & approve the 990. If needed an officer meeting will be held to discuss any reporting issues. Based on comments & discussion the Treasurer will make any necessary corrections and submit the 990 after all officers have approved the 990. Part VI, Line 15 No CEO officer or key employee compensation paid. Part VI, Line 19 All of our governing documents financial records IRS filings meeting minutes and other documents are maintained either on paper or in electronic form in our offices. All of these other than those wherein client privacy is required are available on request at no charge during our normal business hours. We have to this point been able to immediately meet any such document requests. Additionally some of our governing and procedural documents are on-line on publicly-available websites.
