The organization's staff perform the due diligence procedures over the grantee and the grant. In addition to the approval process followed below, the organization's staff members approve grants prior to issuance. The due diligence procedures may vary slightly depending on whether the grant is a Board Discretionary grant, Donor Advised Fund grant, Scholarship grant or Restricted grant. Board Discretionary grants: The Organization's Program Committee reviews and approves grant recipients and funds awarded. The full Board of Directors approves a board docket of Program Committee approved grant recipients and funding amounts at the October, March and June board meetings. Subsequent to the approval of grant awards and funding, the recipient organizations are required to provide the organization with continuing financial data, status reports on use of grant funds, and impact and results data. Donor Advised Fund grants: The Board reviews grant recipients and grant funding at each Board meeting. Scholarship grants: Scholarship grants to individuals are recommended by committees. The Organization approves the Committee memberships to ensure a majority of their membership is made up of individuals not related to the respective fund donors. Committees are required to submit and attest to the selection criteria, committee composition and selection processes on an annual basis. Also on an annual basis, the donor and members of the committee are required to submit a signed conflict of interest policy, affirming that the selection process is conducted in a non-discriminatory, unbiased manner and that they are not related to any of the students selected to receive a scholarship. Once committees recommend scholarship recipients, CCF staff ensures that the selected students meet the before agreed upon criteria. Staff contacts the students and requires that they fill out a scholarship acceptance form, indicating that they accept the award and including their contact information as well as the name and address for the college or university where their award should be mailed. Staff mails the check along with the award letter to the appropriate university, and mails a copy of the award letter to the fund main contact of the fund where the scholarship was drawn. Restricted grants: Restricted grants are grants where the donor has specified the charitable beneficiary.
